- The email address or phone number you used with us
- (Optional) If contacting from Facebook, Instagram or WhatsApp — your handle or the phone linked to that account
We will confirm receipt within 2 business days and complete the deletion within 30 days.
1. What this policy covers
This page explains how you can request deletion of any personal information TransfersX holds about you, including:
- Booking history, contact details and trip data stored on our website and booking system
- Customer service messages exchanged with us by email, phone, WhatsApp, Facebook Messenger or Instagram Direct
- Marketing-list subscriptions
- Data collected when you interact with our Facebook Page, Instagram Business profile or WhatsApp Business number
- AI-assist chat transcripts generated by our messaging assistant (DeepSeek)
2. How to request deletion
Option A — Email (preferred)
- Email info@transfersx.com.au from the same address that was used to book or contact us.
- Put "Data Deletion Request" in the subject line.
- Tell us which of the following you want deleted: booking history, marketing contact, chat transcripts, or everything we hold.
Option B — Phone or WhatsApp
Call or message +61 415 555 542 (24/7). Ask the team member to log a Data Deletion Request against your name and mobile number. We'll send you an email confirmation within one business day.
Option C — Facebook, Instagram or WhatsApp users
If we received your information because you messaged our Facebook Page, Instagram Business profile or WhatsApp Business number — and you have not booked with us in any other way — you can:
- Send a direct message containing the words "DELETE MY DATA", or
- Remove our Facebook Page from your connected apps in Facebook Settings → Apps and Websites, which signals Meta to revoke our access. We will then delete any retained transcripts within 30 days.
3. How we verify the request
To protect you from someone else requesting deletion of your data fraudulently, we may:
- Confirm the request from the email address or mobile number on file
- Ask one or two booking-related questions only the genuine customer would know (e.g. a recent pickup address or trip date)
- For requests submitted via Facebook / Instagram / WhatsApp, verify the requesting account matches the one originally used to contact us
Once verified, your request enters our deletion queue.

5. What gets deleted
Once your request is verified, we permanently remove:
- Your name, email address, mobile number, pickup/drop-off addresses and any saved trip notes
- Chat transcripts from our website widget, WhatsApp, Messenger and Instagram DM
- AI-assist conversation history held by us (we also revoke the conversation reference held by DeepSeek)
- Your subscription to any marketing list
- Any vehicle preferences, cabin preferences or passenger profiles linked to your bookings
6. What we are legally required to keep
Australian tax and consumer-protection laws require us to retain certain records even after a deletion request:
- Tax records (ATO): booking invoices and payment records must be retained for 7 years from the financial year of the transaction. These records are minimised to the legally-required fields (date, amount, GST, invoice number) and the customer's name. They are not used for any marketing or service purpose.
- Stripe payment records: Stripe retains card-on-file authorisations and payment proofs per their own retention policy. We can ask Stripe to remove the customer link from a Charge, but cannot delete the underlying transaction record.
- Legal hold: if your data is subject to an active dispute, insurance claim or legal proceeding, we will retain only the records necessary to resolve that matter until it is closed.
7. Data held by third parties
Some platforms hold copies of data we cannot delete on your behalf. Where this is the case, we will tell you and provide the deletion link for that platform:

When deletion is complete, we will email you a confirmation that includes:
- The date deletion was completed
- A summary of what was deleted and what was legally retained
- Any third-party links you may want to action separately
9. Your other privacy rights
In addition to deletion, you can also:
- Access a copy of your personal information (we'll send it in a portable format within 30 days)
- Correct any inaccurate information we hold
- Unsubscribe from marketing communications at any time (every email contains a one-click unsubscribe)
- Complain to the Office of the Australian Information Commissioner (OAIC) if you believe your privacy rights have been breached
